Lesson: Mastering Tags in Chatavise

In this lesson, we’ll explore the power of tags in Chatavise. You’ll learn how to create, add, and remove tags from keywords, individual contacts, and groups of contacts.

Tags make it easy to keep your contacts organized, streamline follow-ups, and target specific groups when sending mass text campaigns. Ultimately, they save you time and money by helping you quickly locate the right group of contacts and only text the audience you truly want to reach.


Creating a Tag for a Keyword

Let’s begin by creating a tag for the keyword we used in the previous lesson—specifically, the keyword “lesson.”

  1. Go to the top menu and click on Marketing, then Keywords.
  2. Find the keyword you previously created.
  3. On the far right, click the blue Edit button.
  4. Scroll down to the Tag section.
  5. Click on the “Search or Add Tag” bar. For this example, type: “Your Name – Networking Relationships” (as shown on screen).
  6. Since this tag won’t exist for you yet, click the plus sign to create it.
  7. You’ll see the tag appear with a blue dot indicating it’s selected.
    • You’ll also see a (0) next to the tag name, meaning no keywords are currently linked to it. (For me, it shows (2).)
  8. Click Save Changes.
    • You’ll see the tag count increase: for me, from 2 to 3; for you, from 0 to 1.

To clear the search bar and confirm the tag has been added, click the X next to the bar. The tag will still be displayed below.

If you had other tags in your account, they would also be visible in the dropdown for easy selection.


Removing a Tag from a Keyword

To remove a tag:

  1. Click the tag (the one with the blue dot).
  2. Hit Save Changes.
  3. You’ll see the tag count go back to zero for you (and from 3 to 2 for me).

Let’s add it back now:

  1. Select the tag again.
  2. Click Save Changes.
  3. Your tag count should now return to one.

Congrats! You now know how to create, add, and remove tags from keywords.


Tagging Individual Contacts

Next, let’s look at adding and removing tags from individual contacts.

  1. Go to the Chats page.
  2. Select a contact from the list.
  3. Scroll to the bottom right in the right-hand panel to find the Tags section.

To remove a tag, click the X next to the tag name—it’s instantly removed.

To add a tag:

  1. Click the blue Tags button.
  2. Search for the tag you want (e.g., “Ron’s Networking Relationships”) and select it.

You can also create and assign new tags here. For example:

  • Add tags like “Super Influencer” or “Current Client.”
  • If the tag doesn’t exist, type the name and hit the plus sign to create and assign it instantly.

Once done, close the tag window to view all assigned tags for the contact.


Tagging Multiple Contacts

While it’s best to set up tags before contacts start opting in, you can still manually assign tags to groups of contacts.

Here’s how:

  1. Click CRM > Contacts.
  2. To make this scenario-based, filter for contacts met at events this year.
    • Search for tags that begin with something like “25-” to represent the year.
    • (Pro tip: We’ll share more strategies like this in our upcoming paid courses!)
  3. Let’s say you select tags from 13 events and end up with 51 contacts.
  4. Increase the number of visible contacts per page.
  5. Select a few contacts (or all, if needed). In this example, I’ll select 11.
  6. Click Assign Tags at the top or bottom of the list.
  7. Create a new tag (e.g., “LMS Example”) and hit the plus sign to create it.
  8. Click Save to apply the tag to those 11 contacts.

Using Tags for Follow-Up and Campaigns

With your new tag assigned, you can now:

  • Go to the Chats tab.
  • Sort your inbox by that tag.
  • See the list of selected contacts and follow up individually.

To send a mass text campaign:

  1. Click Marketing > Campaigns.
  2. Hit Add Campaign (we’ll cover this more in an upcoming lesson).
  3. Go to the Recipients tab.
  4. Search for and select your new tag (e.g., “LMS Example”).
  5. Click Select All, then Save Selected, and start crafting your message.

Managing Tags from the Tags Page

To manage your tags:

  1. Click CRM > Tags.

From this page, you can sort, filter, and manage tags across your account.

Here’s something cool: let’s filter contacts you met last year.

  1. Set a Date Range: 01/01/24 to 12/31/24, then click Apply.
  2. Scroll to find “Ron’s Networking Relationships”—I can see I met 623 people last year.
  3. Use the filter to view event-specific tags:
    • Search using a pattern like “24-” (which I use to format event tags as “year-month-day Event Name”).
    • You’ll see a breakdown of all events and how many contacts were tagged at each.
  4. At one event, I tagged 50 people. Click the blue Edit button to view those names.

From this page, you can also rename tags and see when you last interacted with tagged contacts.

In this lesson, we’ll cover the power of tags and walk through creating, adding, and removing tags from keywords, contacts, and a group of contacts. Tags make it easy to keep contacts organized in your Chatavise account, which makes it easy for following up, while also making it easy to target specific groups of contacts when sending mass text campaigns.

When it comes down to it, tags help you save time and money because they reduce the amount of time it takes to find the right group of contacts/leads, and they save you money by only sending a text to the audience you want to reach.

Let’s start by creating a tag for the keyword we made in the previous lesson—the keyword “lesson,” to be specific. Let’s go to the top of the screen and click on Marketing, then let’s click on Keywords. Let’s find the keyword that we made and go to the far right and click the blue Edit button.

Next, let’s go to the Tag section. Click on the “Search or Add Tag” bar, and for this example, let’s put in your name, “Networking Relationships,” just like I did on the screen. If that tag doesn’t exist—which it won’t for you—click the plus sign over here. That will create the tag. You will see the tag at the bottom with the blue dot indicating that it’s been selected. The tag has a (2) in parentheses right now for me. For you, it will have a (0), indicating that there are no tags currently attached to that keyword.

Now let’s click Save Changes. You will see tags go from two to three for me, and from zero to one for you. Then, if you click on the X right over here, it will clear what was typed in the search bar, and you will see “Your Name – Networking Relationships” selected. And if you had any other tags in your account, you’ll see those on the menu to be able to select them.

To remove a tag, you simply click on the tag you want to remove. So in this case, just pick the tag with the blue indicator—which should be “Your Name – Networking Relationships”—and click Save Changes, and you will see the tags go back from one to zero for you; in my case, from three to two.

Now, I’m going to personally add it back, and I suggest you do it as well. So I’ll select it, click Save Changes, and you should see it now go from zero to one again.

You now know how to create a tag, how to add a tag, and how to remove a tag from keywords.


The next thing we are going to cover is creating, adding, and removing tags from individual contacts.

To do this, let’s go to the Chats page and select the contact. If you scroll to the bottom right on the right panel, you will see the Tag section. Here, you can remove a tag by clicking on the X—and the tag has been removed.

To add a tag here, click on the blue Tags button. Here you can search for the tag that you want to add. So, I want to add back “Ron’s Networking Relationships.” When I click on it, the tag has been added.

This is also a great opportunity to add other tags for this specific contact. For example, perhaps this person is a “Super Influencer” and a “Current Client.” If I didn’t have that tag there, I would continue typing like so, and if I hit the plus sign, it will create a tag and attach it to the contact at the same time. By clicking it like this, I can close this box and see the four tags that are now added to this specific contact.


Manually assigning tags to multiple contacts is possible in Chatavise, but the preferred method is to set up tags before contacts start subscribing or opting in to receive texts from you. Nevertheless, manually assigning tags to a group of contacts can serve as a great backup.

To do this, let’s go to the top of the screen and click on CRM, then click on Contacts.

Here, to make this example a little bit more scenario-based, I’m going to select contacts that I met this year at events. To do this, I am going to choose tags that start with the number 25 and then a dash to represent the year. Keep in mind, we have paid courses coming out where we’ll share strategies like this, so be on the lookout for those.

Here, I see that I went to 13 events, so I’m going to select all of these events like so. Now that they’ve been selected, I can see that I’ve met 51 people at these events.

At the bottom of the page, I can increase the number of contacts that I see on one page, so I’m going to do that. Here, I’m randomly going to select a few contacts, but if I was being tactful, I would select contacts that I think—based on the conversation—are a little bit more interested in opening up their Chatavise account.

Okay, so I’ve got a few selected here. I have a total of 11 selected. Then I’m going to click on Assign Tags. Now I’m able to either assign an existing tag or create one from scratch. So let’s say I create one from scratch.

I created “LMS Example,” then I hit this plus sign here, and it created the tag. When I hit Save, these 11 contacts have now been assigned that new tag.

Now I can do some pretty cool stuff, like go to my Chats tab and sort my inbox by that tag. Here you can see the 11 people that I have selected, and now I can click on each one individually and start following up with them and setting up meetings.

But this also allows me to target this audience if I want to send a mass text campaign. I’m going to show you how I do that here—and keep in mind, we’ve got a lesson specifically about this page too, so you’re going to want to check that out in a little bit.

But we’re going to click on Marketing > Campaigns, hit Add Campaign—and again, we’re going to have a lesson on campaigns too—but over here in the Recipients tab, I can click here and search for that tag. Here are the 11 contacts—I can hit Select All, Save Selected, and start crafting a message to reach them via mass text campaigns.


The last thing to go over with tags is the Tags page itself.

To get there, let’s go to the top of the screen and click on CRM, then click Tags. Using this screen, I can sort and filter contacts that have been tagged.

I’m going to do something that’s pretty cool—at least in my opinion. I’m going to filter for the contacts that I met last year. These are people that I actually had a conversation with, or people whose hands I shook.

To do this, I am going to the Date Range first, and I’m going to enter 01/01/24 to 12/31/24, then hit Apply.

The next thing—if I scroll down on this page—I can see “Ron’s Networking Relationships.” There are 623 contacts. I met 623 people last year.

The next thing we can do is sort by events. Whenever I go to events, I tag them “year-month-day” then the name of the event. Because I’ve been disciplined about that setup, by putting “24-” I can see that it filtered all these tags from events.

At the top here, you can see I went to 93 events last year, and you can see the number of contacts I met at each event. So I’m going to go to the top—at one event, I met 50 people—and if I click on this blue Edit button, I can actually see the names of those people.

Now, this is also the same screen that, if you wanted to rename a tag, you can do that up here. I think that’s personally pretty cool.

I can also see when was the last time I was active with these contacts.

And that is it for tags. Now you have a great foundational understanding of how tags work in Chatavise.
