👥 Chatavise Lesson: Managing User Profiles in the Mobile App

In this lesson, we’ll walk through how to manage your own user profile and how to add, update, or delete other users—all from the Chatavise mobile app. Let’s dive in!


🙋 Updating Your Own Profile

  1. Tap the menu icon in the top-left corner.
  2. Tap the person icon at the top of the screen.

Here’s what you can do on your profile screen:

  • Update your headshot
    Tap the edit icon on your photo and use the camera or gallery options to upload a new one.
  • Edit name, email, and phone number
    Be sure to keep your email and phone number current, as they’re essential for password resets.

🔔 Notifications & Appearance

  • Notifications
    Choose which notifications you’d like to receive from Chatavise.
  • Theme Settings
    Customize the look of the app. For example, selecting Deep Ocean will switch the theme to a dark blue. Prefer a lighter theme? Just switch back—it’s all about your comfort.

📱 Device Management

In the Devices section, you can:

  • View trusted devices. (e.g., “This iPhone, expires June 10, 2025”)
  • Tap the red trash can icon to remove the current device from your trusted list.
  • Tap the blue button labeled “Trust this device for 30 days” to re-add it.

This feature helps you stay logged in on devices you trust without re-authenticating frequently.


🧑‍💼 Managing Other Users (With Permission)

If your role includes user management permissions, follow these steps:

  1. Tap the menu icon.
  2. Scroll to the Setup section.
  3. Tap Users.

Here, you’ll see a list of all users on your Chatavise account.

🔧 Editing a User

  1. Tap on the user you want to manage.
  2. Update the following:
    • Headshot
    • Email/Username
    • First & Last Name
    • Phone Number
    • Default Location (if you have more than one)
    • User Role
  3. Tap the blue Update button to save changes.

Additional actions on this screen:

  • Deactivate a user with the red trash can icon.
  • Reset Password on the user’s behalf using the Reset Password button.

🔐 Permissions Tab

  • Review or adjust the user’s permissions here.
  • Under Notifications, you can enable:
    • Push notifications
    • Email notifications

💬 Tip: Some users prefer email notifications as a backup—customize this based on the user’s workflow.


📍 Locations Tab

If your business has multiple locations, you can specify which locations each user should have access to under this tab.


➕ Adding a New User

To add someone new:

  1. Go back to the Users screen.
  2. Tap the blue plus (+) icon in the bottom-right corner.
  3. Fill out the following fields:
    • First & Last Name
    • Email/Username
    • Phone Number
    • Default Location (if applicable)
    • Role
  4. Choose how to send the invite:
    • Text Invite
    • Email Invite
    • Create without sending an invite

In this lesson, we’re going to go through how to manage your user profile and how to manage, add, or delete other users—all in the mobile app. So let’s get started.

To get started, let’s click on the menu button, then let’s click on the person icon at the top. Here, we can update our headshot by clicking on the edit button and using the camera and gallery options at the bottom to update the headshot. Then we can also update the name, email, and phone number. The email and phone number are important in case you need to reset your password.

The next option is Notifications. Here, you can choose which notifications you want to be notified about. The next button is the Theme button. Here, you can update how Chatavise shows for you visually. If you click on Deep Ocean, for example, Chatavise will switch to a dark blue theme. I’m going to move it back because I’m getting a little older and I like the white screen.

The next option is Devices. Here, we can see that the current device that I’m on is this iPhone and it expires on June 10th, 2025. What that means is I don’t have to log in until after that date elapses. I can remove this device from my trusted device list by pressing on the red trash can button, and to add it back, I can press on the blue button at the bottom, “Trust this device for 30 days.” By doing that, you can see that I’ve added it back.

In the Chatavise mobile app, you can manage multiple users if you have the right permissions. So assuming you do, just follow along. To start, let’s click on the menu button and let’s scroll down to the Setup section and click on Users. Here, you can see the list of users that have access to your Chatavise account. Let’s click on the user that we want to work with.

On this screen, we can update the headshot of the user by clicking on it and using the camera or gallery options to update it. We can also update the email/username, first name, last name, phone number, as well as the default location if you have multiple locations, and the role of that user. If you update any of this information, make sure to hit the blue Update button. On this screen, you can also make that user inactive by pressing the red trash can button at the top. On this same screen, you can reset the user’s password on their behalf as well by clicking on the Reset Password button.

Next, let’s click on the Permissions tab. Here, you can see which permissions are available to give to the users and take them away if you need to. If you click on Notifications, you’ll see that Chatavise gives you two options: push notifications and email notifications. Personally, I have my email notifications turned off, but I’ve talked to users and they like having the email notifications, especially as a backup. Below those options are the individual notifications that you can choose to turn on or off.

The last tab is the Locations tab. If you have multiple locations, you can choose which locations this user has access to.
